Important Vendor Information + Quick Links
Before we can open the doors and let the real party begin, there is information outlined below that is important for a smooth check-in, load-in and a successful market experience. Please be sure to explore each section and bookmark this page for easy reference.
Vendor Check-In
Check-In: All vendors must check in during the scheduled time at the pop-up tent on the west side of the building before entering.
Upon checking in, you will receive a Vendor Packet with your Vendor Badges.
You can arrive no earlier than 30 minutes before your scheduled time.
- When you arrive, please wait in the line that will start at the pop-up tent on the west side of the North Hall at WestWorld. Use the attached map to show you the exact location.
- Vendors are NOT permitted to save places in line with another vehicle or switch places in line with any vehicle under any circumstances.
- No vehicles are permitted to enter the building unless they have stopped at the pop-up.
- All vendors, including those entering for their 2nd, 3rd, 4th etc. loads must get back in the original line that starts at the pop-up tent. We will then check with our staff inside the building to verify that there is a clear space for you to pull your vehicle inside.
- Vendors who DO NOT check back in at the pop-up tent on re-entry with their vehicle, WILL NOT be allowed inside the building by our staff.
- Your scheduled time is the ONLY time you are allowed access to drive a vehicle inside the building to unload your items. Upon checking in our staff will guide you into the building and show you to your space. Once you are parked inside, please quickly unload your items INTO YOUR SPACE. You will have plenty of time to set up your space, your scheduled check-in time is to get all your items unloaded out of your vehicles. Immediately when you are done unloading items from your truck/trailer, we ask that your vehicle be moved outside to the Vendor Parking Lot (dirt lot on the north end of the building). You will have plenty of time to set up your booth on Thursday & Friday. Please check the Weekend Schedule for load-in and restocking times.
- Please be mindful when you are unloading items off your truck/trailer that all items must be moved directly into your space, not the aisles or the neighboring space, as vehicles will be driving in the aisles. We are trying to get everyone into the building as soon as possible and to have equal opportunity to pull their vehicles right in front of their spaces.
- Thank you for your understanding!
Trucks/Trailers in the Building:
Vendors are only permitted to have one vehicle or truck and trailer inside the building at any given time during Thursday’s setup. We understand that many of you will have multiple truckloads to bring in during the day. All vehicles must check back in at the pop-up tent before entering the building. While you are welcome to try to time your first truck finishing unloading while the other vehicle is waiting in line, please note that you will not be allowed to enter if there is still a truck/trailer unloading in your space.
Walking Items In:
If you would like to cart your items into the building during set-up instead of waiting to pull your vehicle inside, you MUST STILL CHECK-IN at the pop-up tent before entering. You are only allowed to check in during your scheduled Check-In time. On Thursday, you are permitted to park in the West Parking Lot or the Vendor Parking Lot on the north side of the building to cart items in. If you are using the West Parking Lot, please be very aware of vehicles driving; you will have to cross a street where cars are driving very fast.
Vendor Packet:
At Check-In, you will receive a Vendor Packet that will include three Vendor Badges per booth for the weekend (if you purchased two spaces, then you will receive six buttons).
The Vendor Buttons are for the three people who are allowed in each booth during the market. These buttons are for market access throughout the weekend and must be visible when entering and exiting the market. These buttons are only for those working in a booth and must be worn from the time you check-in. Other events are going on all weekend, so wearing your vendor badge will be very important! You will be denied access to enter the building if you are not wearing your badge. Your vendor badge will also allow you access to The Vendor Parking Lot throughout the weekend. You are responsible for getting your help badges needed for the weekend. We can not be responsible for this.
Vendor Parking:
Once you are done with your vehicle(s) and are ready to park, please move all vehicles to the dirt lots on the north end of the building. This is where all parking will be located for the duration of the weekend.
Please note that if you wish to leave any vehicles, including trailers, etc., overnight, you may do so at your own risk. We are not responsible for any vehicles left in the parking lot.
Please make sure that you leave your vehicles in the correct lot and do not double park or block other vendors’ trailers. Please be kind and courteous to your fellow vendors. Keep in mind that the dirt lot is not lined, and vendors must not park directly behind another vehicle or trailer. Remember, vendors will need access to their trailers all weekend long and need the ability to get things in and out of their trailers. All vendor trucks/trailers/cars that do not park in the correct parking lot will be towed.
Additional Loading/Unloading/Restocking:
Please note that if you plan on loading/unloading any additional items on Friday night, Saturday morning/evening, and Sunday morning, you will not have access to drive in or near the building. You may park in the Vendor
Parking Lot on the north end of the building and cart or carry items in. There will be a door on the north end of the building that will allow vendors easy access to restock and bring in items throughout the weekend.
However, please keep in mind you will not be allowed to enter without your Vendor Badge.
Please ensure that you pass along all important information to friends/family etc. who will be driving trucks and entering the building.
Vendors/friends/family who choose not to follow guidelines will not be invited to return for future markets.
Load-Out Instructions
At the conclusion of the event on Sunday afternoon and after all shoppers have cleared out of the building (approximately 3:30-4:00 pm), vendors will be permitted to begin the load-out process. We will announce when you are allowed to get your vehicle, truck, and trailers to begin approaching the building. There is no lining up or parking near the building until the announcement has been made. Please note that the load-out process will take 1.5 - 3 hours depending on the size and location of your booth. Be sure to pass along the load-out information to all of your staff and helpers. We appreciate your cooperation and understand that by the end of the day on Sunday, we are all ready to pack up and head home. Please be mindful and respectful to those around you and our staff.
- After the announcement is made, vendors will be permitted to pull up to the outside edge of the building in a uniform manner. All doors will be rolled up on all sides of the building, and vendors will be able to pack up their items and walk them out by hand/cart/etc. If you don’t want to wait for a spot to back up to the building, feel free to park in the West or North lots to carry/cart your items out.
- We kindly ask that you be mindful of the following:
- Please DO NOT go get your truck/trailer/car and wait outside the building until we make an announcement over the loudspeaker alerting vendors to do so. (We must make sure that the building is clear of all shoppers before we begin the load-out process.)
- Please park your vehicle in a manner that will allow other vendors to pull in next to you.
- DO NOT double park behind other trucks/trailers as this will delay the exit for everyone.
- Please wait until you have a clear space to pull into before leaving your vehicle. There is ample parking on the north and west side of the building so you can leave your vehicle, walk in, and cart your items out, should you prefer not to pull up to the building for load-out.
- Our recommendation is to back in when you are pulling up to the outside of the building; this will allow for an easier exit.
- If you prefer to access the building with your vehicle and don’t mind waiting to do so, we will allow trucks/cars/trailers in the building after most of the vendor footprint has been packed up. Please note that we will make an announcement once we start allowing trucks to enter the building. Again, this will be after most vendors have exited the building (2+ hours after market conclusion).
Vendor Booths
Designing Your Booth to Maximize Sales
As you begin to plan out your booth design for the upcoming market, keep in mind that shoppers want to be inspired. They also want to see how they can style your unique pieces in their home. Design your booth and vignettes to showcase items for their intended use. Shoppers are more likely to purchase if they can see the potential of the piece and don't have to think about how to use it. Remember that when designing the layout of your space, keep the shopper in mind.
Some practical things to consider:
- Clearly define a path for shoppers in your booth.
- Consider leaving a wide enough path for small carts, wheelchairs, and strollers to enter.
- Maximize your booth space using vertical displays. We strongly recommend having a backdrop to define your space, as you do not know who is behind you and what the back of their display might look like.
- Ensure that you have your business name visible to shoppers. A LARGE SIGN IS ALWAYS A GOOD IDEA! We will have a map of the market for shoppers to use all weekend long, and it can be difficult for them to find your booth if you do not have large signage in your space.
When you arrive, you will see the lines of your space (either 10ft deep x 15ft wide or 15ft x 15ft) chalked out on the ground. The space is then yours to create and dream up eye-catching displays!
Please note that there is no electricity to the booths, and no generators are allowed. You may use battery-operated lights, etc.
Booth Lines
100% of all items must fit within your space. Please note that all display walls, backdrops, check-out stands or tables, etc., must fit inside your booth (the space chalked out by Junk in the Trunk Vintage Market staff). Do not obstruct your neighbor’s space or aisle with any items. Storage bins, additional items, or items held for shoppers must all be within your space. It is also necessary for you to remain inside your booth and not sit in the aisle. This is important as all aisles must be clear due to fire code requirements. JITT staff will be walking around before the start of the market and throughout the weekend to ensure compliance. The outside walls of the venue are not to be used for storage space. If vendors choose not to adhere to this request, they will not be allowed to participate in future events.
Printed Information in Your Booth
If you wish to have any printed information other than your business cards in your booth, please email us a copy for approval before April 1, 2025.
Third-Party Products or Advertisements
As a reminder, your space is solely for the purpose of selling your items. Any third-party products, signage or advertisements are not permissible in your booth. If you purchase items to sell from another source, please make sure all tags are removed and only your tag is on the item.
Safety
Make sure that all displays are properly secured, weighted, etc., and be mindful of tripping hazards for shoppers. Please also remember that it is vitally important that you stay within your booth's footprint. Not only is this required due to the fire code, but it is also important to be courteous to your neighbor. Please note that you cannot stake or nail anything into the ground (both indoors and outdoors).
JITT staff will be inspecting the booths on Thursday evening and Friday morning to check displays for structural safety. Please note that while you may take advantage of vertical displays in your booth, all items must be secured and properly weighted to ensure shopper safety. All canopy frames must be weighted down. No fabric coverings may be used over the top of your booth due to fire code.
Miscellaneous Info & Reminders
Overnight Parking
If you are leaving a vehicle or trailer on property overnight, please make sure you are parked in the Vendor Parking Lot on the north end of the building in the dirt lot! If you are not in this lot, WestWorld will tow your vehicle.
RV Camping at WestWorld
Should you desire to take advantage of RV Camping at WestWorld, there are several locations available throughout the property. The cost is $57.01 per night and reservations must be made through WestWorld by calling 480-312-6802.
Security
JITT will provide overnight security starting at the end of vendor restocking hours each night until the building opens for morning restocking hours. If you choose to leave your space before vendor restocking times are complete, you do so at your own risk. We are not responsible for lost or stolen items. We do not recommend leaving any valuables such as iPads, phones, cash boxes, etc. overnight. It is also recommended that you keep your cash boxes, iPads and phones in your possession at all times during the market and vendor hours.
Market Muscle
We are partnering with one of our very own vendors. Thrift To Thrive.
Thrift to Thrive is Thrive AZ’s thrift store, and it’s a great way to help families in need! All proceeds from Thrift to Thrive benefit Thrive AZ’s Safe Sleep program that provides beds to children and youth in need. We encourage donations for any help with loading. Thrive Az will be at the table taking donations and helping our customers move/load heavier items.
Please note we will not have a holding zone at the event. We will have a loading area (same as our last couple of markets) for shoppers to pull their cars up to, located on the north side of the building. They may park and walk in to grab their larger item(s). A table will be located near the front entrance with a small number of Market Muscle staff to assist shoppers in loading larger items. This is not a holding area; items will need to stay in your booth with a sold tag until the shopper has pulled up to the loading zone. Please make sure your customer is prepared to have the items loaded. This includes a proper vehicle, tie-downs, and anything else needed to safely haul their purchases. We will not load anything unsafely and on the roof of a vehicle.
State of Arizona Tax License
All vendors are required by the state of Arizona to obtain a tax license with a Scottsdale location in order to participate in the Junk in the Trunk Vintage Markets. While Junk in the Trunk Vintage Market provides information regarding obtaining the appropriate licenses, it is up to individuals to ensure compliance. Please CLICK HERE to register for your tax license. The City of Scottsdale has emailed vendors that do not have a current TPT license.
WIFI
Cell service is usually fine during the event, however please note WestWorld does not provide wifi. Should your cell service fail, be prepared with a hot spot to assist with processing payments.
Staffing Booth
Vendors, or an employee, are required to be in their booth during all hours our event is open to the public. Failure to do so may jeopardize your participation in future events.
Vendors receive a 20% discount on items at the Junk in the Trunk booth.
